Event Guidelines: Version 1.0

WISBECH ACCESS GROUP EVENT GUIDELINES
To all Members and Volunteers attending the events on behalf of the Wisbech Access Group,
please read the below guidelines:
1. Setting up/Putting away the stall and/or tables
a. If you are setting up or putting away any equipment, tables, etc, please watch a manual
handling video on YouTube or click here to view: https://youtu.be/z7gPpHT1Blk
b. Please wear appropriate footwear (i.e. no open-toed shoes or sandals).
c. The stall should be in an appropriate place, including avoiding uneven ground if possible, not
obstructing doorways and fire exits or evacuation routes, and has room for wheelchair users
where possible.
d. Where an event is indoors, please make yourself aware of the fire evacuation procedures.
e. Ensure potential trip hazards are removed/avoidable wherever possible (i.e. storage boxes,
loose flooring).
f. If there are any nearby, ensure cables/wires are properly secured (i.e. taped to the floor).
g. Slip hazards such as spillages must be cleaned up immediately or notify someone in charge
to arrange this.
2. First Aid/Medical Issues
a. A minimum of one First Aider will be in attendance and will wear something to identify
themselves, such as First Aider jacket, a high-vis waistcoat, armband, etc.
b. The group will ensure a basic first aid kit is available.
c. An incident log must be completed and signed off for any first aid or medical issues.
d. Wear appropriate clothing for the weather
I.
Cold/wet weather - i.e. heated jacket, gloves, scarves, waterproofs, etc, and/or bring a
blanket if you need to stay warm.

Warm weather - i.e. sunhat, sunglasses, etc, wear suncream and bring a drink to avoid
dehydration.
e. You are responsible for your own health needs, equipment such as breathing apparatus and
medication including EpiPens.
f. Any medication you need to bring, must be keep safe at all times and away from children and
the public.
g. If you need a Carer, Supporter, Advocate or Social Prescriber, then you need to arrange for
them to attend the event as well.
h. If you have any urgent medical needs that might cause a danger to yourself or the public
during the event (i.e. severe allergies, severe emotional or physical issues), that you please
inform the Wisbech Access Group Committee by emailing them at:
wisbechaccessgroup@gmail.com with written instructions on what they need to do in the event
of a medical issue. Where applicable, please include a contact number for Next-of-Kin or Carer.
3. Hostility, physical or verbal aggression, intimidating behaviour
a. Avoid confrontational situations, remain polite and courteous where possible but if a
situation escalates, walk away or ask the person(s) involved to please leave the area.
b. If you feel personally threatened in any way, or a potentially threatening situation develops,
call the police immediately.
c. We ask that you do not leave anyone alone, for medical and safety reasons. If you leave the
stall/tables, for example, to handout leaflets or chat with the public, please make sure you have
someone with you and that the stall has at least two people in attendance.
d. An incident log will be kept with the first aid box and should be completed and signed oA with
any such incidences.
e. The Wisbech Access Group do not condone pressuring anyone to give a donation, take a
leaflet/flyer/poster, sign a petition, answer a survey/questionnaire or play any games we have
provided.
4. Personal Items, Mobility Vehicles and Disability Aids
a. The Wisbech Access Group cannot be held responsible for any loss or damage to anything
you bring with you to an event, which includes handbags/wallets, mobile phones, money,
mobility vehicles and equipment, disability aids, and medication.
b. The group recommends that if you need to bring any mobility equipment including,
wheelchairs, powerchairs, mobility scooters, walking sticks/frames, that you arrange insurance
to cover those items, in case of loss, damage to property and injury to the public, yourself or our
members/volunteers at the event.
